Privacy Policy

The short version. BigBrotherBot is self-hosted software, not a hosted service. The application runs inside your own infrastructure, and the access data it processes never reaches us. This policy covers only the marketing website at bigbrotherbot.io and the contact you have with us as a prospective or current customer.

1. Who we are

"BigBrotherBot", "we", "us" and "our" refer to the maker of the BigBrotherBot software and the operator of bigbrotherbot.io (the "Site"). You can reach us at hello@bigbrotherbot.io for any privacy question or request.

2. Software vs. website — an important distinction

BigBrotherBot is delivered as software you deploy and operate yourself. When you run it:

  • It runs on infrastructure you control, against a database you control.
  • The personal data it processes — employee identities, access requests, approvals, audit logs and integration data — stays within your environment.
  • You are the data controller for that data. We do not have access to it, do not receive it, and do not process it on your behalf.

This Privacy Policy therefore does not describe how your BigBrotherBot instance handles data. That is governed by your own internal privacy notices and your agreements with your staff and vendors.

3. Information we collect through the Site

Information you give us

  • Contact details — when you email us (for a demo, pricing, support or a question), we receive your name, email address and whatever you choose to include in your message.
  • Customer and billing details — if you become a customer, we collect the information needed to license the software and invoice you (such as company name, billing contact and tax details).

Information collected automatically

  • Basic server and usage data — like most websites, our hosting may log standard request metadata (IP address, user agent, pages requested, timestamps) for security and reliability.
  • Cookies — the Site aims to use no more than strictly necessary cookies. If we ever add analytics, we will update this policy and, where required, ask for your consent first.

4. How we use this information

  • To respond to your enquiries and provide demos, quotes and support.
  • To license the software to you, invoice you and keep the required business records.
  • To operate, secure and improve the Site.
  • To send you service or licensing communications. We do not send marketing email without a lawful basis or your consent, and you can opt out at any time.

5. Legal bases

Where the GDPR or similar laws apply, we rely on: your consent (e.g. optional communications); the performance of a contract (providing the software and support you requested); our legitimate interests (responding to enquiries, securing the Site); and legal obligations (tax and accounting records).

6. Sharing

We do not sell your personal data. We share it only with service providers that help us run the business — for example website hosting, email and accounting — and only as needed for them to perform that service. We may also disclose information where required by law.

7. Retention

We keep enquiry and customer records only as long as needed for the purposes above and to meet legal and accounting requirements, after which they are deleted or anonymised.

8. Your rights

Depending on where you live, you may have the right to access, correct, delete or port your personal data, to object to or restrict certain processing, and to withdraw consent. To exercise any of these, email hello@bigbrotherbot.io. You also have the right to complain to your local data-protection authority.

9. International transfers

Our service providers may process data in other countries. Where we transfer personal data internationally, we use appropriate safeguards (such as standard contractual clauses) where the law requires them.

10. Security

We take reasonable technical and organisational measures to protect the limited personal data we hold. No method of transmission or storage is perfectly secure, but we work to keep it safe.

11. Children

The Site and the software are intended for businesses and are not directed to children. We do not knowingly collect personal data from children.

12. Changes

We may update this policy from time to time. We will revise the "last updated" date above, and material changes will be highlighted where appropriate.
